OutdoorsCO highly recommends that everyone invest in Travel, Accident and Medical Insurance!  Travel insurance can further protect you in the event of cancellation due to unforeseen occurrences.  in some cases, some trips or activi8ties may require various types of insurance. OutdoorsCO reserves the right to accept and cancel reservations for anyone who participates with our events, trips, tours, or escorted groups at our discretion. If during the reservations process or at any time, our team anticipates a negative outcome will result to fellow travelers or the tour may potentially be disrupted by a fellow traveler, the reservation will be cancelled and any penalties incurred will be the responsibility of the client. Every attempt will be made to balance the trips, tours, groups with the best interests of all travelers in mind.

OutdoorsCO offers refunds commensurate with the policies of suppliers engaged for personal travel, including: events, activities, trips, tours, transportation, and cruises.  Payments made for OutdoorsCO Escorted Tours and Group Trips and Tours may be non-refundable, please refer to the tour or trip details, FAQs, questionnaires and online store legal policies for details specific to your event, activity, tour or trip.  Also, in most cases, the money spent on airline flights will not be refunded.

No credit or refund is available if you cancel on the start/arrival day; if you do not show up; or if you leave an event, activity, tour or trip early for any reason.

REFUNDS are issued after any trip cutoff date ONLY in 2 situations:

  1. The entire trip is canceled for all participants
  2. A supplier issues an injury refund

Refunds are issued minus supplier fees, financial fees and a $10 non-refundable processing fee.

PLEASE NOTE:

  1. It is your responsibility to follow up with OutdoorsCO for your refund.
    Any Refunds for injuries are returned after the resort has disbursed them.  Note that these refunds generally have some fees applied.  
  2. Any refund will be issued only after the business(es) has (have) actually disbursed them to OutdoorsCO.  (These refunds generally can have some fees deducted from the refund)
  3. We cannot apply any monies paid towards future trips unless the suppliers we are contracted with will allow such an exception. 
  4. We will attempt to work with the various suppliers to see what if any refund might be made, if you cancel after any refund or cancelation deadline, but cannot guarantee any refund amount after the date specified in the cancellation policy. 
  5. Family deaths, pre-trip injuries, work schedule changes, emergency schedule changes, etc ... We recommend that everyone invest in travel insurance. 
  6. We do try to offer an online forum for participants to try to swap their spot on any trip with forums at www.outdoorsco.com.  You can post your spot and find someone to take your place, if allowed by the trip rules.  In all cases, payments made to airlines may not be transferrable.

OutdoorsCO will not refund any event, activity, tour or trip payments and is not responsible for any additional expenses incurred, including hotel accommodations, meals, additional transportation costs etc, as a result of unexpected changes in your trip due to a change in airline scheduling, cancellation of flights, bad weather, war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire, floods or adverse weather conditions, epidemics or health risks. It is strongly recommended that each participant purchase travel insurance from a provider of their choice

OutdoorsCO and it's partners offer roommate matching as a courtesy to our single participants; however, we can accept NO responsibility for roommate compatibility.  We will try to match you with a participant based on your questionnaire answers.  We will guarantee a same-sex roommate and will try to match the rest of the questionnaire responses as well ( with someone close to your age, of the same smoking preference, etc …), but we cannot guarantee that this will occur.  We rely solely on the information submitted by Roommate Match Program participants to match our participants and cannot be held responsible for any problems whatsoever that occur as a result of participants submitting false or misleading information about their sex, age or smoking preferences.  The final match decisions will be made at the sole discretion of OutdoorsCO.   No refunds can or will be given due to any issues with the Roommate Match Program.

I the participant (participant defined as the person reading, reviewing, acknowledging this form) by signature or electronic acknowledgement IN CONSIDERATION of being permitted to participate, compete, officiate, volunteer with, or observe in any way in or on the ACTIVITY(IES) and EVENT(S) for all the purpose herein Activities and Events include but are not limited to the following: hiking/trekking, skiing/boarding, swimming, snorkeling, scuba diving, zip lining, sailing, parasailing, water skiing, snowmobiling, ski doos, balloon riding, biking, snowshoeing, tubing, rafting, , parties, pub crawls, meals, happy hours, backpacking, horse/camel/elephant/donkey/etc riding, skating, soccer, tennis, aerobics, weight lifting or other gathering/physical sport, activity, and/or event (for all purposes herein referred to as ACIVITIES), TRIP(S), and/or TRANSPORTATION and/or TRAVEL of any type advertised, promoted, organized, contracted for or conducted by OutdoorsCO LLC all for the purpose herein referred to as Company and it’s internal agents, suppliers of goods and services, promoters, sponsors, marketing agencies, and all other outside contractors for all the purpose herein referred to as “Releasees”, additionally any permission to enter for any purpose any RESTRICTED AREA (defined as any area requiring special authorization, credentials, or permission to enter or any area to which admission by the general public is restricted or prohibited), the PARTICIPANT, for himself (defined as male or female), his (defined as male or female), personal representatives, heirs, and next of kin:

  1. HEREBY Represents, acknowledges, and agrees that the Company and its agents and volunteers are acting as independent intermediaries for other suppliers of goods and services and/or Releasees.
  2. HEREBY Represents, acknowledges, and agrees that with signature, electronic acknowledgement, payment, and or by participating in any ACTIVITIES, TRIP(S), and or TRAVEL of any type advertised, promoted, sponsored, organized, or conducted by the company, that the Participant does so voluntarily.
  3. HEREBY Acknowledges that he has or will immediately upon entering any of such RESTRICTED AREAS, and will continuously thereafter, inspect the RESTRICTED AREAS which he enters, and he/she further agrees and warrants that, if at any time, he is in or about RESTRICTED AREAS and he feels anything to be unsafe, he will immediately advise the officials of such and if necessary will leave the RESTRICTED AREAS and/or refuse to participate further in the ACTIVITIES, TRIP(S), and or TRAVEL of any type.
  4. HEREBY RELEASES, WAIVES, DISCHARGES AND COVENANTS NOT TO SUE any company owners, company Releasees, company suppliers, promoters, sponsors, advertisers, participants, competitors, officials, volunteers, rescue personnel, owners and or lessees of premises used to conduct the ACTIVITIES, TRIP(S), and or TRAVEL of any type and each of them, their owners, directors, officers, agents and employees, all for the purpose herein referred to as “Releases,” FROM ALL LIABILITY TO THE PARTICIPANT, his personal representatives, assigns, heirs, and next of kin FOR ANY AND ALL LOSS OR DAMAGE, AND ANY CLAIM OR DEMANDS THEREFOR ON ACCOUNT OF INJURY TO THE PERSON OR PROPERTY OR RESULTING IN DEATH OF THE PARTICIPANT ARISING OUT OF OR RELATED TO THE EVENT(S), WHETHER CAUSED BY THE NEGLIENCE OF THE RELEASEES OR OTHERWISE.
  5. HEREBY voluntarily Assumes all risks associated with said ACTIVITIES, TRIP(S), and or TRAVEL of any type and acknowledges that they may be exposed to unfamiliar situations at home or abroad depending upon ACTIVITIES, TRIP(S), and or TRAVEL selected.
  6. HEREBY AGREES and acknowledges voluntary that Company ACTIVITIES, TRIP(S), and or TRAVEL of any type are inherently VERY DANGEROUS, sometimes unpredictable and involve the risk of serious injury and/or death and/or property damage. Each of THE PARTICIPANTS, also expressly acknowledges that INJURIES RECEIVED MAY BE COMPOUNDED OR INCREASED BY RESCUE OPERATIONS OR PROCEDURES and/or the NEGLIGENCE OF THE RELEASEES.
  7. HEREBY AGREES not to engage passively or actively in any action, verbal exchange, deed, or any other act that may or would endanger any other Participant(s).
  8. HEREBY releases and forever discharges the Company and Company and Releasees from all known and unknown claims, actions or judgments sought by Participant, its successors, heirs or assigns and furthermore agrees that any restitution or damages, if any, shall be sought directly from the suppliers.
  9. HEREBY acknowledges, and agrees that by participating in/on any activity, event, meal, lodging, transportation, tour, or travel of any type to hold the Company and Releasees harmless for the coordination and facilitation of the any arrangements on his behalf.
  10. HEREBY AGREES act responsibly and follow the instructions from emergency personnel, guides, tour operators, or the company’s internal Agents, volunteers, or Releasees while participating in/on the ACTIVITIES, TRIP(S), and or TRAVEL of any type.
  11. HEREBY AGREES to act not use any organic or inorganic compounds, alcohol, pharmaceuticals, or any other substance that may impair their ability to exercise full physical control and the use of proper judgment in/on the ACTIVITIES, TRIP(S), and or TRAVEL of any type advertised, promoted, organized, or conducted by the company.
  12. HEREBY REPRESENTS and agrees that the Participant is in good health, is physically able, has no health or medical condition that would endanger their ability, and possess the proper training to enable them to participate in/on the ACTIVITIES, TRIP(S), and or TRAVEL organized by the company and that they assume and acknowledge the risk for their participation.
  13. HEREBY Acknowledges that the company does not directly supply any goods or services and are instead provided by outside Releasees or other Participants, which may include, but are not limited to, lodging, transportation (which may include, but is also not limited to, carpooling, air travel, bus, water vehicles or railroad transportation), meals, tours, other activities, event tickets and cruises. The Company is not responsible for the acts or omissions or negligence of any Releasees or other Participants.
  14. HEREBY ACCEPTS that should the Company, its internal Agents or Volunteers provide promotional items, meals, tours, transportation, or other activities that the Company and Releasees shall take no responsibility for, and will not be liable for any injury and or damages caused by said Suppliers, Volunteers or Participants as a result of actions or omissions resulting in any loss, damage, delays, personal injury and/or death of the Participant.
  15. HEREBY UNDERSTANDS that the Participant is never required to accept any promotional item or participate in any activity, event, meal, lodging, transportation, tour, or travel of any type.
  16. HEREBY acknowledges, and agrees that any company activities, events, meals, lodging, transportation, tours, or travel of any type are paid for in advance, and that once a Participant elects to participate and has made a deposit towards or paid for the activity, event, meal, lodging, transportation, tour, or travel of any type, no refund shall be due the Participant for their failure to participate, for any reason. Further the participant is advised to obtain appropriate insurance coverage against any risks associated with said activity.
  17. HEREBY ACCEPTS that the Company and Releasees, reserve the right to exclude any Participant, without the benefit of a refund or recourse, if the Company or its agents believe the Participant by his/her conduct poses a risk to themselves, the Participants or other Third Parties.
  18. HEREBY UNDERSTANDS and acknowledges that the Company does not screen nor conducts background checks on any of its trip, activity or event participants, vendors or Releasees, and the Company assumes no liability for the independent acts of any Participants. Therefore, each Participant has a duty to be vigilant and use their own common sense, and take all necessary precautions with regard to the protection of their personal property and of their own person, when interacting with Company, the Releasees and Suppliers.
  19. HEREBY UNDERSTANDS that in the event of Cancellation of the trip, for any reason, at its discretion the Company will only give refunds after all of its expenses have been accounted for. Furthermore it is advised and recommended that Participants obtain Trip Cancellation Insurance for any contingencies that may arise.
  20. HEREBY AFFIRMS that they have done research and made other preparations to prepare themselves for the ACTIVITIES, TRIP(S), and or TRAVEL of any type selected by them.
  21. The Participant also agrees to complete fully any Company questionnaire with relevant, current and accurate information.
  22. HEREBY REPRESENTS AND AGREES that the Company and Releasees are not responsible for other risks including, but is not limited to: food, water, drink, warning signs, restricted areas, climactic conditions, ignorance or ignoring of equipment parameters or instructions, terrorist activities, social or labor unrest, mechanical or construction difficulties, disease, damages, hotel and/or other public and/or private facilities resulting from the lack of observance of local laws, equipment parameters, climactic conditions, instructions from emergency personnel, guides, tour operators, or the company’s internal Agents, volunteers, or Releasees or any other actions, omissions or conditions outside of the Company’s control.
  23. HEREBY REPRESENTS AND AGREES to indemnify the Company and Releasees for any and all losses incurred for which they are responsible and that occur during the ACTIVITIES, TRIP(S), and or TRAVEL of any type provided by the Company.
  24. HEREBY acknowledges that this is a legal document and is encouraged to review it with an attorney.

THE PARTICPANT ACKNOWLEDGES THAT HE HAS READ AND REVIEWED THE FOREGOING RELEASE AND WAIVER OF LIABILITY, ASSUMPTION OF RISK AND INDEMNITY AGREEMENT, AND AGREES UNCONDITIONALLY TO AND FULLY UNDERSTAND ITS TERMS, UNDERSTANDING THAT HE HAS GIVEN UP SUBSTANTIAL RIGHTS BY AGREEING TO IT, AND HAVE AGREED TO IT FREELY AND VOLUNTARILY WITHOUT ANY INDUCEMENT, ASSURANCE OR GUARANTEE BEING MADE TO ME AND INTEND WHEN CHECKING THE ONLINE AGREEMENT OPTION AND/OR REMITTING PAYMENT AND/OR PARTICIPATING IN ACTIVITIES, TRIP(S), AND OR TRAVEL OF ANY TYPE TO BE A COMPLETEAND UNCONDITIONAL RELEASE OF ALL LIABILITY TO THE GREATEST EXTENT ALLOWED BY LAW AND IS INTENDED TO BE AS BROAD AND INCLUSIVE AS IS PERMITTED BY THE LAWS OF THE PROVINCE OR STATE IN WHICH THE ACTIVITIES, TRIP(S), AND OR TRAVEL OF ANY TYPE IS/ARE CONDUCTED AND THAT IF ANY PORTION THEREOF IS HELD INVALID, IT IS AGREED THAT THE BALANCE SHALL, NOTWITHSTANDING, CONTINUE IN FULL LEGAL FORCE AND EFFECT.

Why you need travel insurance

Emergency Medical Situation During Your Trip

Medicare and group health insurance programs may not provide the coverage you need in an emergency when you are traveling outside of the U.S. If you were to have a medical emergency in a foreign country—and need to be hospitalized—the cost of emergency treatment could be financially damaging to you and your family. Not only that, but how would you find the nearest facility that can provide the appropriate care—especially if you can't speak the language?

The U.S. Department of State's website, travel.state.gov, provides the following compelling reasons to have emergency travel medical insurance when you travel abroad(3):

  • The Social Security Medicare Program does not provide coverage for hospital or medical costs outside the United States of America.
  • Many health insurance plans do not provide coverage overseas. Those that provide "customary and reasonable" hospital costs abroad may not pay for your medical evacuation back to the United States, which can easily cost $10,000 and up depending on your location and medical condition
  • Many foreign doctors and hospitals require payment in cash prior to providing service.

Natural Disaster

If a natural disaster such as a hurricane, flood or earthquake were to cause damage to your hotel or to the area you are traveling to, you may need to either cancel your trip or come home early. Trip cancellation and interruption coverage may reimburse you for the prepaid, forfeited, non-refundable payments or deposits that you made for your trip. In addition, if you are already at your destination and need to return home early, your coverage may pay for additional transportation expenses (such as a new flight) to get you back home.

Cancelled Flight/Cruise(2)

Should your airline carrier or cruise line cancel your arrangements —for example, due to inclement weather or a transportation strike — trip cancellation coverage could reimburse you for any prepaid, forfeited, non-refundable payments or deposits that you made for your trip.

Financial Insolvency of a Travel Supplier

If your trip is cancelled or interrupted because of the unforeseen financial insolvency or bankruptcy of your travel supplier (for example, a tour operator, cruise line or airline carrier), your coverage may protect your travel investment by reimbursing the non-refundable portion of your prepaid travel arrangements.
